Our team had the honor of traveling to Aruba to provide a corporate after movie & photography coverage for the annual VDTC Summit 2024. The event, a key gathering for industry leaders, innovators, and business professionals, presented us with the opportunity to document not only the dynamic energy of the summit but also the forward-thinking discussions that took place throughout the event. Our goal was to create an immersive visual story that could be used for a variety of marketing and internal purposes.

Objective:

  • To capture the full scope of the VDTC Business Summit through high-quality photography and video.
  • Highlight the prominent speakers, panel discussions, workshops, and networking opportunities that define the summit’s importance.
  • Provide Van den Tweel with visual assets that could enhance their future event promotions, social media outreach, and internal reporting.

challenge we face

While the project was a great success, there were several challenges that our team had to overcome to ensure that we delivered a flawless product:

  1. Time-sensitive shooting: The summit had a packed schedule with numerous sessions, speakers, and networking events taking place simultaneously. Coordinating the capture of all key moments while being mindful of tight timeframes was a logistical challenge. Our team had to move quickly and efficiently between multiple sessions to ensure no important content was missed.

  2. Lighting and Venue Conditions: Aruba’s tropical climate meant we faced fluctuating lighting conditions, especially when shooting outdoor events or in spaces with large windows that let in varying amounts of natural light. Our photographers and videographers had to adjust settings on the fly to ensure consistent, high-quality images and footage.

  3. Multimedia Coordination: The complexity of delivering both video and photo content during an event of this scale required careful coordination between our team members. We had to ensure that the quality of both mediums met Van den Tweel’s expectations, all while remaining flexible and adaptable to the dynamic nature of the event.

  4. High-Profile Speakers and VIPs: Capturing the attention of high-profile speakers and business leaders without disrupting their presentations posed its own set of challenges. We had to be respectful of the event’s flow while ensuring we got the right shots of speakers and panels. At times, it required stealthy movement through the crowd and anticipating key moments before they occurred.

  • Our team traveled to Aruba fully equipped with a range of professional camera gear, drones, lighting, and sound equipment to ensure that every moment was documented with precision.
  • We worked closely with the Van den Tweel team before the event to ensure we understood their specific needs, including the types of shots they were most interested in and the moments they wanted to highlight.
  • Throughout the summit, our photographers and videographers worked seamlessly to capture both candid moments and curated shots. We ensured we had coverage of all major speakers, panels, and key moments that would resonate with both event attendees and external audiences.
  • Additionally, we documented the vibrant atmosphere of networking breaks, side discussions, and the interactions that make these summits unique.

Key Deliverables:

  • Photography: A full gallery of high-resolution photos capturing the essence of the summit. This included wide-angle shots of the venue, close-up portraits of speakers, candid moments during presentations, and group shots of attendees networking and engaging.
  • Video Production: A highlight reel showcasing the best moments of the summit. The video included speeches, interactions, behind-the-scenes footage, and various angles of key presentations. We also provided a longer-form recap video to offer more detailed coverage of the event.
  • Post-event Report: A curated collection of visual assets, including optimized images and videos for digital marketing, email campaigns, and social media posts. These assets were strategically organized for easy access and future use.
  • Event Website: We developed a dedicated website to host all event deliverables. The platform serves as a central hub for easy access to photos, videos, and other summit materials. This infrastructure is not only intended for this event but also as a framework for future VDTC events, providing a streamlined process for managing, showcasing, and distributing content from upcoming gatherings.

The VDTC Summit 2024 was captured in its full grandeur, with our team delivering a comprehensive set of visual assets that have since played a significant role in Van den Tweel’s promotional and internal communication strategies. The videos and photos have been utilized across various marketing platforms, social media channels, and internal presentations to showcase the summit’s impact and extend its reach.
